ISO 9001 / 45001 Integrated Management System Manual

This version of the IMS1 Integrated Management System Manual covers ISO 9001:2026 and ISO 45001:2018. Sections 1 to 5 set out the shared framework and the quality processes, and Section 7 Health & Safety Management covers the OH&S management system in full, from commitment and worker participation through to hazard identification and the control of contractors and outsourced work.

Health and safety is woven into the shared sections as well. The H&S Lead is named in 2.2 with responsibility for risk assessments, accident reporting and OH&S performance, health and safety objectives draw on the assessment of OH&S risks and on consultation with workers, and contractors are selected using health and safety criteria and appraised on F-HS16 Contractor OH&S Appraisal.

What the Manual Covers

  • Sections 1 to 5 - scope, context, documented information and legal compliance with a table for health and safety legislation; policies, objectives, responsibilities, management review and risks and opportunities; staff, equipment, premises and the work environment; enquiries, purchasing, operations and change; and customer satisfaction, nonconformities, audits and improvement
  • 7.1 Commitment to Health and Safety at Work - top management responsibilities for the OH&S system, and the consultation and participation of workers, with the topics non-managerial workers are consulted on and take part in
  • 7.2 Health and Safety at Work - Guidance and Arrangements - reporting concerns and removal from danger, emergency preparedness and response, workplace stress and wellbeing, legal requirements, performance evaluation and communication
  • 7.3 Health and Safety Procedure - key documents and first aid, training, risk assessments, PPE and review, with a decision table at each step
  • 7.4 Accident, Incident and Near Miss Reporting - action at the time, reporting on F-HS6 Near Miss Reporting Form and F-HS13 Accident Report, and investigation and corrective action
  • 7.5 Hazard Identification and Risk Assessment - identifying hazards, risk assessment using F-HS3 and F-HS14, the hierarchy of controls, change, OH&S opportunities, workplace inspections and contractors
  • 7.6 Health & Safety Procedures and Policies - the health and safety documents and records in use

The Appendices

  • Appendix i - External File References - folders, including a Health and Safety Records folder, and a registers key naming the hazard and risk assessment register and the accident statistics register
  • Appendix ii - IMS Folder Filing System - the suggested IMS folder, with a place for accident statistics and other health and safety records
  • Appendix iii - Terms and Definitions - general terms plus health and safety terms such as consultation, hierarchy of controls, incident, OH&S risk and participation

Who Needs an ISO 9001 / 45001 Integrated Manual?

Organisations certifying to ISO 9001 and ISO 45001 together, such as contractors, installers and manufacturers, use this manual to run quality and occupational health and safety as one system. It suits SMEs where the person who manages the jobs also manages site safety, giving one set of policies, one audit programme and one management review for both standards.

Included in the ISO 9001 and 45001 Toolkit

This manual is part of the ISO 9001 and 45001 Toolkit, where it is supplied with the IMS1 Manual Guidance and the registers, forms, policies and procedures it refers to.

Using the Manual

Name the H&S Lead in 2.2 and complete 7.2.4 with where competent health and safety advice is obtained. Section 7.5 relies on the supplied risk assessment forms and the hazard and risk assessment register - if your own system is used instead, check it covers the same ground. 7.2.1 relies on a whistleblowing policy for protection from reprisals, and the registers key in Appendix i can point any register term at your own file.

Related Documents

IMS1 Guidance explains each section, including the ISO 45001 clauses behind Section 7. P-14 Whistleblowing Policy supports the protection from reprisals in 7.2.1, F-Q7 Training Talk Attendance Record records the training talks in 7.3.2, and F-IMS23 Opportunities and Risks Register holds the key risks and the opportunities register, including OH&S opportunities.
